Senior Property Manager

The Role

We are looking for a Senior Property Manager, who will be responsible for delivering a high standard of property management service, maintaining strong client and occupier relationships, overseeing compliance and financial performance and assisting with the mentoring and development of junior team members. 

Accountabilities

Portfolio Management

  • Manage a portfolio of commercial and mixed-use properties, with some residential elements where applicable.
  • Carry out regular property inspections and prepare detailed inspection reports.
  • Ensure all properties are managed in accordance with management agreements and client objectives.
  • Develop and maintain strong relationships with landlords, tenants, leaseholders, contractors, and professional advisers.
  • Deal with day-to-day management issues and occupier queries in a professional and timely manner.
  • Take ownership of more complex property management matters and provide practical solutions.

Client & Tenant Liaison

  • Act as a key point of contact for clients and occupiers.
  • Attend and lead client meetings, site meetings, and occupier meetings where required.
  • Prepare and issue management reports, recommendations, and updates.
  • Build strong working relationships to support client retention and service delivery.

Service Charge & Financial Management

  • Prepare and manage annual service charge budgets.
  • Monitor expenditure and ensure properties are managed within approved budgets.
  • Review and approve contractor invoices.
  • Assist with year-end service charge reconciliations and reporting.
  • Monitor arrears and liaise with credit control teams where necessary.
  • Identify opportunities to improve efficiency and reduce operational costs.

Contractor & Maintenance Management

  • Instruct and oversee contractors for reactive repairs, planned maintenance, and minor works projects.
  • Manage contractor performance and ensure agreed service levels are maintained.
  • Obtain quotations and prepare recommendations for client approval.
  • Oversee planned preventative maintenance programmes across the portfolio.

Compliance & Health & Safety

  • Ensure all properties comply with relevant legislation and health & safety requirements.
  • Oversee statutory compliance.
  • Maintain accurate compliance records and documentation.
  • Liaise with consultants, surveyors, local authorities, and insurers where required.

Team Support & Mentoring

  • Support and mentor junior property managers and assistants.
  • Assist with onboarding and training of new team members.
  • Promote best practice and consistency across the department.
  • Support the Property Management Director with operational improvements and team coordination.

Residential & Mixed-Use Management

  • Oversee residential elements within mixed-use developments where applicable.
  • Manage leaseholder communications and residential compliance matters.
  • Assist with Section 20 consultations and major works administration where required.

Requirements

Essential

  • Significant experience in property management within a managing agent environment.
  • Strong understanding of commercial property management and service charge administration.
  • Experience managing mixed-use or commercial portfolios.
  • Excellent communication and client relationship skills.
  • Good understanding of health & safety and property compliance requirements.
  • Strong organisational and time management abilities.
  • Ability to work independently and manage multiple priorities.
  • Competent in Microsoft Office and property management software.
  • Full UK driving licence and access to a vehicle.

Desirable

  • RICS, or other relevant professional qualifications.
  • Experience managing multi-let commercial buildings.
  • Knowledge of landlord and tenant matters.
  • Experience overseeing major works projects.
