Office Manager
The Momentum Group is a property services company that operates four commercial businesses: Advise, Build, Manage and Maintain. We deliver comprehensive and high quality, advisory, construction, property management, facilities management and maintenance solutions to clients across the private and public sector throughout the North-West and elsewhere in the UK.
The Role
Key Responsibilities
As part of the Build team, you will play a pivotal role in maintaining an efficient, well-organised office environment that supports productivity, compliance, and staff wellbeing.
Your responsibilities will include:
Office Administration & Management
- Manage daily office operations, ensuring a clean, safe, and efficient working environment.
- Maintain office supplies, equipment, and service contracts; liaise with suppliers and service providers.
- Coordinate office maintenance, security, and health & safety protocols, ensuring full compliance with legislation.
- Act as the main point of contact for building management and service contractors.
- Support the onboarding of new staff including desk allocation, IT equipment coordination, and induction schedules.
HR & Staff Support
- Maintain accurate employee records including holiday tracking, absence monitoring, and training logs.
- Support internal communication and employee engagement activities such as newsletters, company events, and team briefings.
- Assist with recruitment administration and liaising with HR and external agencies as needed.
- Ensure policies and procedures are clearly communicated, up-to-date, and accessible to all staff
Financial & Commercial Support
- Assist the Commercial team with purchase orders, invoice processing, and petty cash management.
- Monitor budgets for office-related costs, identifying and reporting on cost-saving opportunities.
- Support document control and compliance with commercial procedures, particularly during tenders or project mobilisation.
- Monitor drawing registers ensuring site teams and Subcontractors have the latest most up to date drawings for both tender and Construction
Executive Support
- Provide PA support to the Construction Director and senior leadership team, including diary management, meeting coordination, and travel arrangements.
- Prepare presentations, reports, and correspondence as required.
- Organise internal and external meetings, take minutes, and follow up on actions.
Compliance & Documentation
- Maintain and update company records, registers, and logs including insurances, licenses, and training certificates.
- Support audits and accreditations by ensuring all required documents and policies are well maintained.
- Oversee GDPR compliance and data handling best practices across the office
- Ensure Period End Reports and Client Valuation certificates are filed for Audit on a monthly basis
- Assist the Commercial Manager in Year End Audit reviews compiling information and actioning queries raised.
General
- Carrying out ad hoc duties as needed to support project and business success
- Manage incoming/outgoing mail and telephone communications.
- Coordinate office-wide events, training days, and social initiatives.
- Carry out ad hoc duties to support the wider business, including involvement in improvement initiatives or cross-departmental projects.
Requirements
- Proven experience as an Office Manager or similar role within a fast-paced environment, preferably construction, property, or professional services.
- Excellent organisational and multitasking skills with a high level of attention to detail.
- Strong interpersonal and communication skills, both written and verbal.
- Confident working with senior leaders and external stakeholders.
- Proficient in Microsoft Office Suite and document management software.
- Knowledge of HR administration, health & safety, and office budgeting preferred.
- Ability to handle sensitive information with confidentiality and professionalism.
- Ability to work to tight deadlines and remain calm under pressure.
